  • Welcome any new volunteers, visitors, ..etc. 

 

Downtown Rewind recap 

  • Financials 
    • Cost about $9,000 
    • Bottom line is about -$3,000 since we raised a decent amount of money during the event 
    • This year we collect $5,200 in cash, our first year was $3,700. 
    • If you count sponsorships the net is positive 
  • Other feedback? 
    • Sensory tent placement was bad.  Too close to Elvis, he upped his game with better speakers. 
    • Karaoke setup was saved by Sean Doherty.  We need better tech support next year. 
      • Can we get more karaoke time next year? 
      • Maybe start dancers earlier? 
    • Event had great atmosphere, like Topsfield Fair but less expensive and easier to get to. 

 

Summer Night Lights 

  • GoFundMe isn’t quite working 
    • Too difficult to donate, then add dedication.  Requires folks to login and find donation to add comment. 
    • Seeking alternatives.  Maybe Give Butter, Cheddar Up, Paypal, Square ..etc 
    • Dedications will be written on luminary bags, placed along the snow fence 
    • Do we sell these at the event as well? 
      • Would need a table, and a runner to go place them quickly 
    • We have to figure out how to market this better 
    • Do we put a physical thermometer sign somewhere out in the town to track the progress? 
      • Post on FB/Insta about the thermometer 
      • Get different age groups to repost about it, participate 
      • Try to engage students, younger community. 
  • Music for the fireworks 
    • Put together early, send to the band 
    • Share with Ocean State at least a week before 
    • Which songs?  Use the same track from last year, should be long enough to cover the show 
  • Light up items for sale? 
    • Do we have a couple of volunteers walking around the crowd with light up items to sell just before dark? 
      • Split opinion.  We might not have the time and resources to do it. 
      • Venmo makes money part easier 
  • Some concerns about the cell signal at the highschool 
  • Pre-sale of a family package? 
    • Glow sticks, other fun or convenience items. 
    • Tickets to dunk tank, carnival games. 
    • Pick up the bag at the booth 
  • Drink tent run by FalconFest 
    • Food truck lines were long if someone just wanted a drink 
    • Sell water, gatorade 
    • Jenn has a lot of extra coolers, can help with drink storage. 
  • Separate operations tent 
    • Intake for volunteers, also double as break area 
    • Do we put operations tent near drink tent and overlap staffing? 
    • Sell drinks from 2 places 
  • Activities 
    • Dunk Tank 
    • Pie Contest 
      • Nancy wants to handle the registration again 
    • Bike / Wagon Parade 
    • A crafting station if we have Art Association there 
    • Kids art contest?  Display the art in a tent during the event 
  • Carnival Games 
    • Put put 
    • Game toss trailer 
  • Face painting 
  • Pipe cleaner bracelet making, we have a lot of beads on hand 
  • Getting volunteers 
    • Seems like there is still an untapped source of highschool kids 
      • Despite our efforts  communicating with DanversCARES and Mr Black and posting the opportunities we have trouble staffing Downtown Rewind and Summer Night Lights.  These events are outside of the school year. 
      • We need to contact specific club/organization coordinators 
  • There are still many people in town that don’t know about our events
