WIFFLE Bowl recap – Rebecca / Sarah

Sarah shared her thoughts on the ice cream portion of the event. Logistics and execution super smooth. Sold 160 tickets. Cherry Farm brought their own staff and supplies. Holy Cow was great to work with. There was some miscommunication with Treadwell’s and offering creative flavors. Leftover ice cream donated to Great Oak (4 tubs). Still have 4 more tubs to sell as DHS or Essex Tech concession stand. SJP staff was fantastic for carting ice cream and no breakdown.

Ideas for next year:

  • Plan for date at the end of August
  • Market ice cream and WIFFLE ball separately. Maybe Ice Cream for Dinner event?
  • Charge $5 per attendee despite age
  • Not sure if the ice cream vendors will donate the ice cream for free. Salem pays the vendors at their event and we should prepare for this moving forward.

Rebecca said that the tournament portion of WIFFLE Bowl was a huge success. Total profit $4500. We received lots of sponsorships with more field sponsors than fields. Sandlot was a hit with the kids. Stephanie did a great job. East Coast Wiffle Ball would love to collaborate with us next year. They offered some feedback to consider for next year:

  • One bracket
  • Paint field lines
  • Saturday event, all day event
  • East Coast to sell merchandise
  • Change the price per team to cover t-shirt costs

Only a few negatives to note:

  • Two kids teams were no shows but East Coast was able to move things around
  • Better plan for swag. More visibility and separate tent. Separate items in Square to keep track of what was sold.
  • Winning kids team had six players, didn’t wear their shirts

Upcoming Town events – Jocelyn

Onion Town Day on Saturday 9/16 10a-4p at Endicott Park

Jocelyn will be there to set up about 8:15a. Mike and Rebecca will be available. Melanie can volunteer from 10a-2p. Mike will bring a table and tents. Field day meets fair concept. Weather forecast is dicey. Jocelyn will order supplies for color in slap bracelets, firework tattoos, football game toss through the tarp. Swag as prizes. Rain date is on 9/23 10a-4p.

Amy will post a call for volunteers on social. Perhaps Mr. Black from DHS can help.

Celebracion on Saturday 9/23 11a-2p at DHS

Activity all set – papel picado. Jocelyn will order supplies. Amy will work the entire event and welcomes a few volunteers too.

Status update on proposals to the Town – Amy

Board met with Town officials this morning. Proposals were well received and will be shared with Town Manager for approval this week. The Board will need to go to the Select Board to present both events. Tentative Select Board meeting dates are October 3 or October 17.

Bonfire Saturday, January 13th at Plains Park

Fireworks Saturday, August 11 at DHS

Sammy asked about having a DHS Falcon’s Nest booth at the bonfire. She pitched an Epcot around the world concept. Sammy added that teens like competition/games and a good theme.

Fall/winter marketing and fundraising ideas – Jocelyn

Build-A-Falcon similar to Build-A-Bear (Sarah)

Holiday Market / Craft Fair / Sip and Shop (Sarah) – Wine permitted at Senior Center. Other locations to consider are the Danvers Art Association, Maple Street Church, HRMS or DHS, SJP, Essex Tech HS. We can charge an entry fee, sell raffles and charge crafters $50 per table. Per Sarah, we will need at least 20 vendors and should review crafter’s contract terms and insurance needs. Tentative date Friday, December 1.

DFF tree at Danvers Historical Society Parade of Trees (Sarah) – Buy a cheap tree, decorate with DFF swag and drop off after Thanksgiving.

Outdoor movie nights (Bob) – Something to consider for Spring. We will likely need licensing for the movies.

Comedy Night

Light Up Danvers

Halloween photo op with Ghostbusters at Casa Bivens (Ashley/Jocelyn)

Themed party 1920s or Kentucky Derby (Rebecca)

Rubber Duck Drop (Mike) – Partner with Kiwanis

Harlem Globetrotters to come to Danvers (Sarah) – Host at DHS and sell tickets

Next Meeting – Tuesday, October 10 at 7p at the Danvers Fire Headquarters
